Personas: Controller / Billing Admin
What you'll learn
- Manage your Plixo subscription and volume limits.
- Understand trial vs. paid plans and customer portal access.
- Handle degraded billing behavior.
Step-by-step
- Review plan details.
- Under Admin → Billing, see your current plan, volume limits (customers and AR balance), and renewal date.
- Upgrade to a higher tier for increased volume limits and additional seats; changes take effect immediately and are billed via Stripe.
- Manage trials and pilots.
- Pilot customers can be set to trial mode with limited seats and manual approvals for Autopilot.
- Convert to paid by activating the plan in Stripe; Plixo updates entitlements automatically.
- Use the customer portal.
- Access invoices, payment methods, and subscription history via the Stripe-hosted customer portal.
- Share portal access with your finance operations team for transparency.
- Respond to degraded states.
- If billing is degraded (missed payment, card expiry), Plixo pauses new sends and alerts Controllers and Billing Admins.
- Update payment methods or contact Plixo support to restore full functionality.
Success checks
- Subscription settings reflect your current user counts and feature usage.
- Trials convert before expiration to avoid interruptions.
- Degraded billing banners are resolved within one business day.
Common pitfalls
- Ignoring upcoming renewals. Set reminders to review seat needs before auto-renew.
- Letting payment methods expire. Keep multiple payment methods on file to prevent downtime.
- Confusing customer vs. payer portal. Plixo's mini-portal is for your customers; the Stripe portal manages your subscription with Plixo.
